After running an import from the Magical Import module, Insycle shows a summary of what happened and updates the Preview panel to reflect the outcome. This article covers how to read the Import Result summary, what changes in the Preview after the import runs, and how to interpret the full CSV report Insycle generates.

Reviewing the Import Result Summary

After you click Import and confirm, the Import Result modal shows a summary of the operation:

  • Run ID: Click to download the CSV report—also available anytime in the Activity Tracker and emailed to you automatically.
  • Count: The total number of rows processed.
  • Succeeded: The number of rows completed successfully.
  • Failed: The number of rows that encountered an error.
  • Created: The number of new records created.
  • Updated: The number of existing records that were updated.
  • Deleted: Total number of deleted records. Only applies to the Delete operation.
  • Unmodified: The Count minus any that failed, were created, updated, or deleted.

The image above shows the Import Result modal in the Magical Import module. The Property and Value table lists: Run ID "1789172258505" with a note that it links to download the CSV report and is also available in the Activity Tracker; Count "1192"; Succeeded "1150"; Failed "42"; Created "1119"; Updated "31"; Deleted "0"; and Unmodified "0".

Reviewing Updated Rows in the Preview

After the import runs, the Preview panel updates to show the outcome of each row: a green checkmark appears next to the row number for rows that imported successfully, and a red warning icon icon-red-warning-19x17.png appears for rows that failed.

The image above shows the Preview panel in the Magical Import module after an import has run, with the Filter set to "Show All Rows." The CSV Column header row displays FirstName, LastName, Email, and MailingStreet. Most rows display a green checkmark next to the row number, indicating a successful import. Row 13 instead displays red warning icons next to the row number and next to the First Name, Last Name, and Email values, indicating a failed row.

The Filter dropdown includes two options for reviewing the outcome:

  • Show Only Failed Rows: isolates failed rows so you can review and address them.
  • Show Only Succeeded Rows: isolates rows that imported successfully.

The image above shows the Preview panel's Filter dropdown open in the Magical Import module, with an arrow pointing to "Show Only Failed Rows." The dropdown also lists "Show All Rows," "Show Only Valid Rows," "Show Only Warning Rows," and "Show Only Succeeded Row".

Hover over a warning icon to see an explanation of the error, which will help you understand the problem and determine steps to resolve it. These details are also included in the Message column of the emailed CSV report.

The image above shows the Preview panel in the Magical Import module, with the Filter set to "Show Only Failed Rows." Each visible row displays red warning icons next to the row number and affected field values. A tooltip is expanded over one row, reading "Matching Hierarchy: Cannot match to a single record because 4 Contact records have the same value. Deduplicate or use a different Matching Hierarchy in Data Mapping."

Note: The Show Only Failed Rows view shows only the post-import outcome — not the original warning icons that appeared when the CSV first loaded or when you applied your Data Mapping, Preparation, Validation, or Operations settings. Those original warnings remain visible only under Show All Rows and Show Only Warning Rows. If a row shows a red warning icon in the Show Only Failed Rows view, that indicates the import itself failed for that row.

Reading the CSV Report

The CSV report Insycle generates after an import gives you a row-by-row breakdown of what happened, using two key columns:

The Result column shows one of the following:

  • Created: a new record was created in your CRM.
  • Updated: an existing record was found and updated with data from the CSV.
  • Failed: an issue prevented the row from being imported. See the Message column for details.

The Message column explains the outcome for each row. Common failed messages include:

  • Validation errors — for example, "Validation: Lead Source: Invalid picklist value" or "Validation: Canonical VID: Duplicate row 5," indicating a value didn't meet your validation rules or the same identifier appeared in more than one CSV row.
  • Matching Hierarchy errors — for example, "Matching Hierarchy: Cannot match to a single record because 4 Contacts records have the same value. Deduplicate or use different Matching Hierarchy in Data Mapping," indicating multiple CRM records matched the same Matching Criteria value.
  • Underlying CRM errors — for example, "Underlying error message from HubSpot: Property values were not valid: Email address lillis6@perthtur.coom is invalid," indicating your CRM itself rejected the value.

You can also see the (Before) and (After Update) values side by side for each field in your import, showing exactly what changed on each record.

The image above shows a portion of the exported import CSV report, with columns for Result, Message, Email, Deeplink, First Name (Before), and First Name (After Update). The Result column shows a mix of "Updated," "Failed," and "Created" values. The Message column shows "Succeeded" for successful rows, and specific error text for failed rows — including a Matching Hierarchy error citing four records with the same value, a "Validation: Lead Source: Invalid picklist value" error, and an "Underlying error message from HubSpot" citing an invalid email address. The First Name (Before) and (After Update) columns show each record's value before and after the import, side by side.
