Use this article to run a read-only comparison between your CSV and CRM data in the Magical Import module, select which CSV rows to compare, and understand when to use Compare instead of Export.

With the Magical Import module, you can upload a CSV containing data you want to compare against records in your CRM. The Compare feature shows your CSV values side by side with matching CRM records, without changing any CRM data.

Compare vs. Export

Both Compare (Preview) and Export features of Magical Import generate a read-only CSV report based on the rows in your initial CSV, search for matching records in your CRM, and include the corresponding field data in the report. The difference is in what is included in each report:

  • Use Compare (Preview) to view your CSV values side by side with the corresponding CRM values. This lets you preview potential changes to existing records before importing, and identify data in your CSV that doesn't yet exist in your CRM.
  • Use Export to select specific CRM fields to include in a report — for example, to gather additional data for analysis or to bring into another tool. 

What Your Initial CSV Requires

Your CSV needs to include only the fields used in your Matching Criteria, plus a column for each CRM field you want to retrieve and compare against. Insycle searches for matching CRM records and pulls the field data you specify.

Selecting CSV Rows for the Comparison

Once you've configured your Data Mapping and Matching Criteria, you can choose which CSV rows to include in the comparison. By default, Insycle compares every row in your CSV. To compare only specific records, return to the Preview and check the boxes beside the records you want to include. Leave all checkboxes blank to compare every record.

Running a Comparison

Running a comparison generates a read-only CSV report showing how your CSV data lines up against existing CRM records, without changing any data.

  1. At the bottom of the Magical Import page, under Action to take with the CSV, select the Compare (Preview) tab.
  2. Click the Compare button to run the comparison.

The report shows:

  • How many contacts from your CSV are net-new versus already existing in your database.
  • CSV data side by side with the corresponding CRM data, so you can preview how your CSV would update existing records.
  • Unsubscribe status checked against your CRM database.

After you confirm, the emailed export shows which CSV rows matched records in your database, along with the exported CRM field data.

The Result column may show:

  • Compared - A match for the CSV row was found in the CRM
  • Not Compared - An issue prevented a clean match, so the CRM data fields are empty 
  • Failed - An issue prevented a clean match. The Message column provides details so you can troubleshoot

Each column from your initial CSV appears next to the matching CRM column. CSV columns appear side-by-side with the mapped CRM fields:

  • [CRM field name] (Before) shows the existing data in your CRM
  • [CSV column name] (After Update) shows the column data from the CSV
