Use this article to select which CSV rows to include in your import, choose a Records Mode to control how Magical Import updates or creates records, and optionally add imported contacts to a HubSpot list or Salesforce campaign.

Once you've configured your Data Mapping and any Preparation, Validation, and Operations settings, running your import applies your CSV data to your CRM based on the Records Mode you select—updating existing records, creating new ones, or both.

Selecting CSV Rows for the Import

By default, Insycle runs your import against every row in your CSV. To import only specific records — for example, to test a small batch before running the full import — return to the Preview and check the boxes beside the records you want to include. Leave all checkboxes blank to import every record.

Selecting a Records Mode

Selecting a Records Mode tells Insycle how to handle your CSV data relative to existing CRM records during the import.

  1. At the bottom of the Magical Import page, under Action to take with the CSV, select the Import tab. 
  2. Then, select the Records Mode to instruct Insycle how to handle your CSV data during the import:

    • Update existing and create net new: If Insycle is unable to find a corresponding record, a new record is created in your CRM.
    • Only update existing: If Insycle finds a corresponding record, it updates it with the data from your CSV. Data that doesn't match an existing CRM record is not imported.
    • Only create net new: Only records that can't be matched to an existing record in your database are imported. Records that already exist in your CRM are not updated.

    Note: Intercom users have only the "Only update existing" option available.

  3. When you click Import, you'll be prompted to confirm.

  Important: The import has no preview step. Once you confirm, the changes are applied to your CRM immediately. 

If you aren't ready to import yet or want to preview how the import might affect records already in your database, use the Compare (Preview) tab to view your CSV values side by side with matching CRM records without changing any data in your CRM. Adding Imported Records to a List or Campaign

Depending on your CRM, you can add imported records to a list or campaign as part of the import.

HubSpot

When importing records to HubSpot, the Add to List option appears. Type to search existing lists, or use the Create List button to make a new one. If you select an existing list, click Show to open it in HubSpot for a preview.

Salesforce

When importing contacts or leads, the Add to Campaign setting appears. Type to search campaigns and select one, then set the Campaign Member Status. Click Show to open the campaign in Salesforce for a preview.
