In this article, we’ll provide some simple steps for:
- Taking stock of what your company does in Insycle
- Identifying currently running automations
- Analyzing the current status of your customer data
- Getting to know Insycle
If you need help with the process of understanding Insycle and taking stock of your company’s current operations within Insycle, schedule a complimentary training meeting to learn more.
Templates are the backbone of Insycle. Templates allow you to create pre-defined processes for fixing common data issues in your CRM. For example, deduplication, association, cleaning, and standardization all happen in templates inside of their respective modules.
Navigate to the Templates page inside the Insycle dashboard.
Here, you’ll find all the templates your company has created in Insycle.
For example, if your company is currently using Insycle to deduplicate contacts, format contact names, and standardize states—you’ll see every template on this page.
There you can see what
- CRM app the template is for
- The module its built in
- The object type
- Template name
- The template creator
- Last template edit date
- Other information
Then, you can click the template name to be redirected to the template directly. There, you can view the settings or run a preview to see how each template works.
This is how you can evaluate what your company is currently doing in Insycle.
Next, you should analyze existing automations to see which templates have been scheduled to run automatically.
Templates can be automated to run on a set schedule, such as daily, weekly, or monthly. To view existing automations for your company, click the Automations page in your lefthand menu.
This will open up a table with all of the currently scheduled automations in your company’s Insycle plan.
There you can see what:
- CRM app the automation is for
- The module the automated template is built in
- The object type
- Template type (active, preview, or export)
- Template name
- Template creator
- Last template edit date
- How often the template is scheduled to run
Then, you can click the template name to be redirected to the template to understand more about what each automated template is doing.
This helps you to understand what data updates you have running automatically.
HubSpot WorkflowsHubSpot users may also have Insycle Recipes (a group of templates bundled together) that are running within HubSpot Workflows. Evaluate your active Workflows in HubSpot to see if Insycle is integrated with them.
To evaluate active Recipes in Insycle, click the Recipes link on the main navigation.
Then, look for Recipes that are active in Update Mode.
The Activity Tracker is where you can track and review all changes made to your data through Insycle, both for live updates and preview runs. Every operation that is run through Insycle is viewable here.
When each operation is run, a Run ID is produced. Clicking that Run ID downloads a CSV file that lets you see all of the changes that were made in a given run.
You'll have a before and after view of the data in the records and the affected fields.
Doing this allows you to see all of the historical changes made to your data by Insycle templates, and can help you to understand how specific templates work.
The Health Assessment dashboard surfaces data quality issues that negatively impact your marketing, sales, and support efforts, and guides you through the process of fixing them.
Using this can help you to gain an understanding of the current status of your data.
At the top of the Health Assessment page, you'll find an updated count of all records with identified data issues based on these templates.
You also have graphs that provide additional historical context for your data issues.
Clicking the Review button for each individual issue takes you to the appropriate template to evaluate or fix the listed issue.
To view information about your plan or billing, click your profile in the top right corner of the Insycle dashboard and then select Billing. You'll be redirected to Chargebee, where you can view plan information and invoices.
To view user accounts and permissions, navigate to Settings > Users in the primary navigation menu.
To view your connected CRM accounts and databases, navigate to Settings > Accounts in the primary navigation menu.
