Bulk Enroll Contacts in HubSpot Sequences
Once your data is clean, set up a template in the Bulk Operations module to enroll contacts in a sequence.
Target the Right Contacts
Use Insycle's powerful filtering to segment contacts and target the right audience for your sequences.
In the Bulk Operations module under Step 1, select the Field to work with. You can filter your data using any field in your database.
Use the Condition to set the rule that the data in the selected field must meet.
In the example below, the filter specifies that we only want to enroll contacts that neither use a free email provider nor are in the 'Sales Qualified Lead' lifecycle stage.
Common filtering strategies include:
- Exclude free email providers: Filter out contacts using gmail.com, yahoo.com, outlook.com, etc.
- Target by lifecycle stage: Focus on specific stages like Marketing Qualified Lead (MQL) or Sales Qualified Lead (SQL)
- Filter by engagement: Exclude contacts who recently opened emails or visited your website to avoid over-communication
- Exclude recent enrollments: Prevent re-enrolling contacts who were recently in a sequence
- Segment by contact properties: Use any HubSpot property to narrow your audience—industry, company size, job title, lead source, and more

Configure the Enrollment
With your filters set, you’re ready to enroll contacts into sequences at scale.
Under Step 2 of the Bulk Operations module, click the Enroll tab.
- User: Select a HubSpot user who has visibility into the target sequence. The user must have a Sales Hub or Service Hub seat at the Professional or Enterprise level.
- Sequence: Select the sequence to enroll the contacts in. The available sequences are populated based on the user’s visibility settings. (See HubSpot’s guide on sharing sequences.)

Sender: The sequence will be sent from the user or email address you configure. There are two Sender options:

Owner Property (Dynamic): Emails are sent from the contact’s assigned owner (i.e., Customer Success Manager).
- Choose an owner property on the contact record (e.g., Contact Owner or Customer Success Owner).
- Insycle will automatically send emails from the current owner of each contact. For example:
- Contact 100 → Owned by Drew → Drew is the sender.
- Contact 101 → Owned by Jane → Jane is the sender.
- Each owner’s email address must be connected to HubSpot.
- Note: The User controlling sequence visibility can be different from the contact owners.

Mailbox Address (Static): Emails are sent from a specific email address.
- Type in the sender's email address.
- The email address must be connected to HubSpot and belong to the selected User.
- Useful when the selected User has multiple connected email addresses (e.g., skyler@outreach.acme.com and skyler@acme.com).

Owner Property (Dynamic): Emails are sent from the contact’s assigned owner (i.e., Customer Success Manager).
Key Points About Sequence Enrollment
- Any Insycle user can enroll contacts into sequences that a HubSpot user with a Sales Hub Professional, Service Hub Professional, or Enterprise seat has access to.
- The sequence must be shared with the User selected as the sender. If the User does not have permission to access the sequence, enrollment cannot be completed.
- When contacts are enrolled, they receive an email from the user who holds the Sales or Service Hub Pro or Enterprise seat or the specified mailbox address.
- An email inbox must be connected.
- Bulk enrollment can process hundreds or thousands of contacts at once.
