How to Manage Custom Objects with Insycle

You have created custom objects in your HubSpot database to represent data that fits your company's unique needs. You're looking for an easy way to organize, cleanse, and update these records on an ongoing basis.

All of Insycle's modules and features support HubSpot custom objects. This provides you with powerful, flexible tools that enable you to manage, maintain, and automate data operations with any custom objects, just as Insycle does with standard objects.

Before you can begin working with custom objects, you need to have them added to your Insycle account. Please reach out via chat or support@insycle.com to get these added.

Once added, specify which of the object fields should be included in your Insycle dataset.

Managing Your Custom Objects

Merging Duplicate Custom Objects

The Merge Duplicates module can identify duplicate custom objects and merge them flexibly, in bulk. You set rules for determining the master record that other duplicates will be merged into—such as the first record created, record with the most email opens, or any other field.

Associating Custom Objects to Contacts, Companies, or Deals

With Insycle, you can automatically detect relationships and associate HubSpot custom objects with contacts, companies, and deals in bulk. You can also add or remove multiple associations between any objects and select an association label. For example, you could associate two cars with the same representative.

If the records you want to associate are already in HubSpot, use the Associate app. To associate new records from a CSV while importing, use the Magical Import module.

If you have a CSV file containing data to be imported as new records, use the Magical Import module to associate people and companies with existing records in your database when you import.

In the Magical Import module, select the record type.

Importing Data from a CSV File

The Magical Import module lets you import custom object data with flexibility and consistency. You can explore, deduplicate, set up associations, cleanse, and standardize data before anything gets imported into your CRM.

Optionally, make formatting changes, bulk updates, associations, and other updates to the CSV data in Insycle before uploading it to HubSpot.

Formatting and Standardizing Data

The Transform Data module includes dozens of pre-built functions to standardize data by copying, formatting, merging, extracting, mapping, or replacing values. Functions can be layered to make changes in a series of steps.

In the Transform Data module, select the object type.

Under Step 1, configure the filter to find records you'd like to update.

Under Step 2, set up functions that tell Insycle what changes to make to the identified records. In this example, the car make values will be formatted to all caps, and the dollar sign "$" character will be removed from the price field.

Advanced How-Tos

Automate Custom Object Data Management

Setting up automation for your data management tasks frees your team up to focus on more strategic tasks.

Insycle’s Recipes allow you to organize multiple Insycle templates into an automatable, multi-step data maintenance process. You can insert your Recipes directly into HubSpot Workflows for custom objects, contacts, companies, deals, and tickets.

For example, if a new custom object record is added to HubSpot, it could trigger a Workflow that sets off an Insycle Recipe. This Recipe could cleanse, format, and deduplicate the record data. Once it's complete, HubSpot will continue with the Workflow steps.

Specify Which Fields are Included in Your Insycle Data

When you first connect your HubSpot database to Insycle, the fields for custom objects won't automatically be included in the sync. You need to specify what to include in Insycle on a field-by-field basis.

To select which fields you want to include between HubSpot and Insycle:

  1. Navigate to Settings > Fields
  2. Select your database and object type from the top menu
  3. Review the list of fields and decide which you want to include
  4. Toggle the Include control to the 'On' position (yellow = on, grey = off)

You must have an Admin or Owner user role to manage field inclusion.

  Note: Included field changes take effect during the overnight sync process. If you need immediate synchronization of newly enabled fields, contact Insycle support to trigger a full sync.
