How to Filter CRM Records Using OR Logic for More Flexible Data Analysis

Insycle offers powerful filtering features that allow you to analyze data in advanced ways to gain a deeper understanding of your CRM. While most filtering operations default to AND logic, requiring records to meet all specified criteria, many situations demand greater flexibility. Whether you're searching for records missing a required field, identifying variations for the same value, or finding data that matches any of several conditions, Insycle's OR operator functionality empowers you to create more inclusive and comprehensive filters that capture exactly the data you need.

Use Advanced Search to Find Values in One of Multiple Fields

By default, Insycle's filtering system uses AND logic, requiring records to meet all specified criteria. However, you may need more inclusive filtering, such as when searching for records that are missing any required field, rather than those missing all specified fields.

With Insycle's advanced search functionality, you can easily switch from AND to OR logic to broaden your search criteria and capture all relevant records in a single filter.

1. Select the Fields and Parameters

First, add the fields to use for the filter. Select the Condition that the data in each selected field must meet, then click Search. This generates the advanced syntax for the search.

In this simple example, the filter is looking for records where the First Name and Last Name fields are empty.

If you review the results now, you will see that the filtered records are those missing both the First Name and Last Name values.

To find records that are missing either a First Name or Last Name value, you need to take one more step.

2. Edit the Advanced Search Syntax

Next, remove the "+" (AND) from the syntax. 

Click the Advanced tab in Step 1. You'll see that the advanced search syntax for this filter has been generated.

In the advanced search syntax, you will notice a '+' character preceding the syntax for each field. This '+' signals to Insycle that the filter will use 'AND.' If you remove these, Insycle will search for both fields using 'OR.'

Select and delete each of the "+" characters from the advanced search syntax.

Now, if you click the Search button, Insycle will search for records that are missing first name OR last name.

Find Results for a Variety of Terms in the Same Field

Variations in terminology, abbreviations, and naming conventions can make it challenging to get a complete view of your data or generate accurate reports. For example, the same type of organization might be entered as "Credit Union," "CU," "Federal Credit Union," "FCU," "Community Bank," or "CMNTY."

With Insycle, you can identify all these anomalies in one filter, enabling streamlined updates with a single template.

1. Select the Field and Terms to Look For

On the Filter, select the Field you want to work with. Use the "contains term" Condition to search for specific terms or phrases within the field data. Then, in the value field, enter all the possible variants you want to find, using the pipe “|” character (located just above the Enter key on your keyboard) to separate the values. The "|" acts like "OR." For the banking example, this would look like "CU|FCU|CMNTY."

2. Configure the Bulk Change to Make

Continuing with the credit union example, we want to adjust the values based on what was discovered in the field. In the Transform Data module, under Step 2, we've provided Insycle instructions on what modifications to apply to the identified records.

3. Preview Changes and Update CRM Records

Under Step 3, click the Review button and select Preview mode.

Click the Next button to go to the Notify screen, where you can select recipients and add context to the CSV report email.

On the When tab, click the Run Now tab, and select which records to apply the change to (you could do All, but if you have a large number of records, you may just want to do a chunk for your preview), then click the Run Now button.

Insycle will generate a preview CSV and send it to your email. Open the CSV file from your email in a spreadsheet application and review the values for each row.

To the far right, you can see the (Before) and (After) values side-by-side.
