You likely export CRM data for many different reasons — to share among your teams, deliver them to vendors, import into another software, or to analyze and report on them.
However, with so many exports, and many required on a recurring basis it can quickly become too time-consuming for a single person to handle.
With Insycle, you can set rules for flexible exports to run automatically on a recurring basis.
With Insycle, it's easy to export select data on a recurring basis.
To do this, use the Grid Edit module. First, you set a filter that tells Insycle what fields and records that you would like to export, based on rules. Then you tell Insycle how often you would like the export to run, and they will be automatically delivered to the email of your choice.
You can save your export settings using Templates. With templates, future exporting tasks will not need to be reconfigured, saving you time.
Step 1: Define Filter
Automatic exports take place in the Grid Edit module.
In Step 1, you filter our database down to only those records that you would like to export, based on rules. Insycle offers numerous pre-built templates that you can select at the top of the screen, or you can build your own. For this example, we'll be building our own.
Let's say that we want to export deals that are currently open and are for greater than $20,000 on a weekly basis.
First, we select the "Deals" object at the top of the screen.
Then we set our filter.
This filters your CRM down to only deals that are not closed and have an amount of greater than 20,000. Click the "Search" button and contacts that match your filter will show up just below the filter.
Additionally, you have the ability to choose what fields will be visible for each record that matches your criteria. Select the "Layout" tab.
Here, you can add or remove fields from the Grid Edit module.
With your filter set, a preview of the fields that match this filter will be generated at the bottom of the screen.
Here, you can view and select individual records for export using the checkbox next to the record.
When you are satisfied with your filter and want to save it for future data update tasks, you can add it as a new template using the "+" button, and then save it using the save disk button.
Step 2: Export and Automate
With your Filter set, Insycle can now export the slice of data that you have selected, based on your filter rules.
You can setup automated exports by clicking the Export button.
First, you'll be asked whether you would like to export to be in a brand new file, or an existing file. Existing File is only available if you have exported previously and have a file in the Insycle system to select.
Then, you setup the weekly export email notification. You can add recipients or add additional context to the message. The CSV export will be attached to this email whenever it is generated.
Then, on the "When" screen, you can setup your automated exports.
You can setup automated exports on an hourly, daily, weekly, or monthly schedule here.
Then, data that matches your set filter will be automatically exported and emailed to you or your team on a set schedule, improving data collaboration and giving you the opportunity to keep an eye on the most important customer data.
You can set up ongoing data maintenance automation with Insycle on the module level, using Recipes, or integrating with Workflows. You can view all scheduled automations on the “Automations” page on your dashboard.
Audit Trail and History
The Activity Tracker lets you review all changes made through Insycle. At any time you can download a CSV report of the operation and records affected.
