Insycle's Associate app automatically detects and links contacts, companies, deals, custom objects, and other object types in bulk. You can segment records using attributes like relationship identifiers, company names, domains, or any other fields. Records matching specified criteria are automatically linked according to matching rules. The app also supports creating hierarchical relationships—like parent and child links—and allows data to be copied between linked records.

Fundamentals of Creating Relationships
What fields can I use to create relationships?
You can use any field in your database that syncs with Insycle to create associations between records; you just need to figure out which field in each object type will have the same value. For instance, you might select "Company" for contact records, and "Company Name" for company records. Or you could use "Email Domain" on the contact, and "Website Domain" on the company.
Common fields for linking contacts to companies include company names, domains, and URLs.
Can Insycle create and associate a new record if no match is found?
Yes. When associating records, if no matching record is found, Insycle can automatically create a new one.
To enable this, go to 2. Define Matching and check the Create new [Companies] when no matching is found box. In this example, when matching contacts to companies, Insycle populates a newly created company as follows:
- Matching fields: Any fields used in your 2. Define Matching criteria are set on the new company record, using the same values from the contact record.

Company name: Controlled by the New Companies Name dropdown.

If one or more fields are selected, the new company name is set to the corresponding value(s) from the contact record, joined by a semicolon. For example, if you're matching on email domain and country, the new company name would be formatted as binswi.com; USA.

If the 'New Companies Name' field is left blank, the company is created with only the domain name field populated, set to the contact's email domain.

Can I associate companies to contacts instead of contacts to companies?
Yes. You can associate records in either direction.
Though making relationships will work in both directions, consider that contacts to companies is the standard direction, and some features (such as the "If Company is Not Found Create New Company" feature) are only designed to work when contacts are being associated to companies.
In some cases, the direction may be important, such as when creating relationships with custom objects or between child and parent companies.
Parent-Child Relationships
Can Insycle manage parent-child associations and links?
Yes, Insycle can help manage parent-child relationships. For more information, see the Associate or Link Parent-Child Companies article.
When creating parent-child company relationships, how does Insycle determine which is the parent?
Insycle does not automatically know which record is the parent. You have to make that clear through the data itself. Common approaches include:
- Adding an identifier to parent company names, such as "HQ." This is what the filter in the example template is looking for. For example, the Parent Company value could be "Microsoft HQ."
- Adding a "Parent" custom field to manually tag parent companies before making the relationship.
- Using other fields, such as opportunity amounts, to automatically identify and tag parent companies.
Associating or Linking when Importing
Can I create parent-child relationships from a CSV file?
Yes, you can create parent-child relationships using data from a CSV file. If you have a CSV file containing data to be imported as new records or to enrich existing records, use the Magical Import module to associate child companies to existing parent companies in your database when you import.

Can I associate contacts with multiple companies from one CSV?
Yes, but you will have to run the Magical Import module multiple times. Insycle is only able to run one association operation with each run of the Magical Import module. So if you need to make up to three associations per contact, you'll need to run the module three times. Alternatively, once you've imported the CSV, you can make additional associations using Insycle's Associate app.
HubSpot-Specific Questions
My Recipe ran successfully. Why was the data not updated in HubSpot?
There are a couple of possible causes:
- The Recipe was not saved to run in Update mode. To check this, in Insycle, open the relevant Recipe, click Review, and make sure it is set to run in Update mode.
- The data sync to HubSpot may not have finished processing yet. Give it a few more minutes to complete the batch, then check again.
- The workflow requires certain values to be present for the Insycle recipe to run, and due to another integration or process, the timing of the value populating the record happens after the workflow runs.

Can I make child-parent associations from a CSV?

Can I integrate my associate template with a HubSpot Workflow?
Yes. With Insycle's Associate app, you can create advanced association templates and run them from within HubSpot Workflows.
You’ll need to configure association templates in Insycle, bundle them into a Recipe, and insert the Recipe into your HubSpot Workflow.

Can Insycle associate activities with a company or other record?
No, it is not currently possible to access, update, or associate HubSpot activities through Insycle.
In HubSpot, how can I identify companies created using Insycle's "Create new Company..." checkbox?
If you checked the Create new [object type] when no matching is found box in 2. Define Matching, you can identify the created records by a custom property value in HubSpot.
When Insycle creates a new record during the association process, the Original Source Data 2 property value will be "Insycle Data Management."
