Excluding Records That Sync with Other Systems from a Merge Process

When deduplicating your CRM data, records that sync with external systems — such as Salesforce and HubSpot integrations or connections to platforms like Shopify — require special care. These records often include integration IDs that maintain the connection between systems. If they are merged or deleted, it can disrupt those connections and lead to data sync failures or loss of critical relationship data.

Insycle lets you filter out these records before deduplication, so your cleanup process affects only records without external system connections.

Filtering Out Records with Integration IDs

To exclude synced records from deduplication:

  1. Navigate to Data Management > Merge Duplicates and select your database and object type.
  2. In Step 1, configure your matching fields to identify potential duplicates.
  3. Click the Filter button at the bottom of Step 1.

  4. On the Filter tab of the Advanced Settings popup, select the appropriate integration ID field — such as Salesforce Account ID or Shopify Customer ID — and set the condition to doesn't exist to include only records that do not have an integration ID.

  5. Click Search to apply the filter.

With this filter in place, clicking Find in Step 1 will return only records without external system connections, leaving your synced records untouched while still cleaning up purely internal duplicates.
