Matching Duplicates Created Around the Same Time

When a contact reaches out through a chat channel — such as Facebook Messenger or HubSpot Chat — a new record is often created automatically with very little information: typically just a name and a timestamp. That record may already exist in your CRM as a fuller contact record created through a different channel. Because the chat-created record lacks an email address or phone number, standard field matching can't connect it to the other record.

Insycle's Within Timeframe condition addresses this by matching records that share the same name and were created or last modified within a specified time window. This makes it possible to surface probable duplicates even when the only shared data points are a name and an approximate creation time.

Setting Up the Within Timeframe Condition

To configure this condition:

  1. Navigate to Data Management > Merge Duplicates and select your database and object type.
  2. In Step 1, on the Simple tab, configure your matching fields to identify potential duplicates.
  3. Click the Conditions tab.
  4. For the relevant date field, set the Condition to Within Timeframe, then set the Minutes, Hours, or Days criteria.

The image above shows the Conditions tab in Step 1 (Find Duplicates) of the Merge Duplicates module, with three conditions configured: First Name and Last Name each set to Value Required in All Records; and Create Date set to Within Timeframe with a criteria of Minutes and a value of 15.
