Records don't always wind up with the same type of information in the same field. A phone number might be captured as a mobile number in one record and a work number in another. An email address might land in a primary email field for one record and an additional email addresses field for another. When that happens, standard field-to-field matching won't catch the duplicate — because the values aren't in the same field.
Insycle's Related Fields feature solves this by expanding the scope of a matching field to include additional fields that store the same type of data. When you designate related fields for a matching field, Insycle checks for matching values across all of them — not just the primary field.
Setting Up Related Field Matching
To configure Related Fields matching:
- Navigate to Data Management > Merge Duplicates and select your database and object type.
- In Step 1, on the Simple tab, configure your matching fields to identify potential duplicates.
- Click the Advanced tab.
- In the Related Fields dropdown, select up to 2 additional fields to group with your matching field for comparison.
For example, if your matching field is Phone Number, you could select Mobile Phone Number and WhatsApp Phone Number from the Related Fields dropdown. Insycle will then check for matches across all three phone fields when running the deduplication process.
The image above shows the Advanced tab in Step 1 (Find Duplicates) of the Merge Duplicates module, with three matching fields configured: First Name and Last Name each using Exact Match with Symbols ignored, comparing the Entire Value; and Phone Number using Exact Match with Symbols and Whitespace ignored, comparing the Entire Value with Mobile Phone Number set as a Related Field.
Common Examples of Related Field Matching
| Matching Field | Related Fields |
|---|---|
| Additional Email Addresses, Company Email Address | |
| Phone Number | Mobile Phone Number, Company Phone |
| Email Domain | Website, Company Domain |
| Billing Address | Shipping Address |
Matching Using Two Different Fields
Related Fields also works when you want to compare values held in two structurally different fields — not just multiple fields used for the same purpose. For example, you might want to compare an Email Address field against an Additional Email Addresses field to catch duplicates where the primary email of one record matches a secondary email of another.
To configure the Related Field:
- Navigate to Data Management > Merge Duplicates and select your database and object type.
- In Step 1, on the Simple tab, configure your matching fields to identify potential duplicates.
- Click the Advanced tab.
- In the Related Fields dropdown, select up to 2 additional fields to group with your matching field for comparison.
