Matching people to accounts (organizations) is critical for maintaining order in Pipedrive and giving your teams a complete picture of every account.
Your sales team relies on properly linked records for context in sales conversations. Without proper people to organization linking in place, you lack vital context and potentially miss big opportunities.
With Insycle, you can automatically detect and link Pipedrive people and accounts/organizations in flexible ways.
How It Works
Insycle allows you to match people to organizations, in bulk.
You tell Insycle which records you would like to associate (usually records that are unassociated), then you can make associations using any field in your database to match.
Insycle also provides advanced features such as similar matching, the ability to filter out terms from company names (Inc., Co., etc.), multiple associations, and labels in HubSpot.
Overview
With Insycle, you can link people to organizations in Pipedrive in bulk, or while importing data.
To link records that are currently in the database, use the Bulk Operations module and the Link action.
To link records, they need to have a field with a similar value in both records. For example, "Email Domain" on the contact, and "Domain" on the organization record. Then, you can pick those fields to match the records and establish the association.
Linking or Matching People to Organizations in Pipedrive
With Insycle, People to Organization matching in Pipedrive is simple.
Step 1: Define Filter
To associate or link contacts to companies in bulk, we will use the Bulk Operations module.
Select the “Link People to Organizations” template.

As you can see in the image above, this template looks for contacts that do not have a linked Organization but do have an existing email domain. These are the contacts that we want to filter down to and potentially link to accounts, assuming a match can be found.
You can also customize this filter as needed, but the template serves as an excellent starting point
Step 2: Link
In this step, we'll tell Insycle how to link people to companies in bulk, and define the rules for matching.
Select the Link Tab in Step 2.

Then, we have numerous settings that tell Insycle how to make these linking connections.
Let's break down each section.
First, we set the Action. Here we tell Insycle whether we would like to add or remove links among the records that we filtered in step 1. For the purpose of linking contacts to companies, we will select "Add."
In the Record Type dropdown, we will select "Person to Organization."
Then we have the Organization Filter button. In Step 1, we told Insycle how to filter down our contacts to only those that are fit for linking with a company. In this screen, we tell Insycle how to filter organizations down to those that would be a good fit.

Here, we are telling Insycle to only consider companies for linking if they have a domain in the database.
Then we have the Field Name and Match Field selections.

The Field Name is the field contained within the People record type. The Match Field is the field we will be matching it with, for the Organization record type.
In the Comparison Rule, we are telling Insycle to only link if the domain is an exact match, but we can also choose "Similar Match" here. The Ignored dropdown tells Insycle to ignore whitespace.
Additionally, you can tell Insycle whether to match the entire field or just part of it—such as the first or last few words, or first and last characters.

This is the complete template for linking contacts to companies using the domain name, but you can also edit this template or add additional fields used for matching by clicking the Field Button.
When no matching record is found, an association will not be created. However, you can choose to create a record in this case and link them. Check the "Create" button to enable that. For example, when linking contacts to companies, if no matching company is found it would create a new company and link it to the contact.
Step 3: Preview or Update
Now we can link contacts to companies in bulk.
Select the "Review" button to get started.

Once you click that, you'll have the option of running the Bulk Operations module in either Preview Mode or Update Mode. In Preview Mode, no changes will be pushed to your live CRM database.

When you click the "Next" button, you'll be taken to the "Notify" page, where you can choose where the report will be sent. This report can be delivered to colleagues and teammates as well.

On the third screen, we tell Insycle when we want this operation to run. You can choose to run it one time right away with Run Now, or schedule it to run automatically on a set schedule in the Automate tab.

Click the Schedule button to run the Bulk Operations module.
After it has run, Insycle will generate a report. This report will also be sent to your email, as specified in the "Notify" step.

All updates to your data can be viewed and downloaded as reports in the Activity Tracker.
Preview Changes Before They Go Live
With Insycle, you can always preview the changes that you are making to your data before those changes are pushed to your live database. When you run any module in Insycle, you have the option of choosing between Preview Mode and Update Mode once you click the button.
Automation
You can set up ongoing data maintenance automation with Insycle on the module level, using Recipes, or integrating with Workflows.
Audit Trail and History
The Activity Tracker lets you review all changes made through Insycle. At any time you can download a CSV report of the operation and records affected, including while using Bulk Operations.
Frequently Asked Questions
Can Insycle associate activities with an organization or other record?
No, Insycle does not currently allow you to access, update, or associate activities. When you merge companies, it would re-associate activities from the duplicate company to the master company, and re-assign contacts and deals to the master, see below and attached help article.
What fields does Insycle use to create associations?
Insycle allows you to use any field in your database to match associations. Commonly used fields for linking include company names, company domains, company domains, and company URLs.
Can I associate organizations→people instead of people→organizations?
Yes, with Insycle you can associate in any direction and it will work. Please make sure you have the correct starting record type selected at the top of your module screen.
I want Insycle to create and associate an organization record if one is not identified. Is that possible?
Yes, check the "Create when no matching is found" checkbox.
